Home / College Guide / Catering services introduces new online portal and expanded options - The Etown

Elizabethtown College Catering Services have revamped their operations for the new year, namely via the introduction of a new ordering system and expanded catering options. Catering Services hope that these changes will streamline their operations and benefit customers. “The biggest change is that orders are now placed directly through CaterTrax,” Catering Director Kimberly Greene said. In a change from previous operations, the CaterTrax online portal will now be used to place all catering orders. This software is used widely by other regional colleges, universities and other institutions for their catering services. Greene believes that this software will help Catering Services improve their operations and customer service. “My hope is that CaterTrax will make ordering catering simpler, more transparent and more accessible for everyone on campus,” Greene said. “CaterTrax allows customers to see menus, pricing and availability in real time, which helps set clear expectations and reduces back-and-forth communication.” Booking for catered events by college faculty and approved student groups will be done through the 25Live online scheduling portal and is necessary before completing the CaterTrax order form.

The link to the college’s CaterTrax portal will be included in the scheduling confirmation sent by 25Live. Once an account is made on CaterTrax, users will be able to choose from Catering Service’s menu including the order’s quantity and any dietary restrictions or special requests. Time and location for the catered must also be inputted into CaterTrax. Payment will only be accepted in the form of entertainment budget lines. Placed orders will immediately be emailed to the catering director for review and approval. “Compared to our previous process, it creates a more consistent experience for both the customer and our team, improves accuracy and allows us to focus more on food quality and service rather than administrative details,” Greene said. User accounts will enable customers to monitor their order, modify their order and allow Catering Services to message them if an issue with their order arises. CaterTrax will also keep a history of users’ previous orders, enabling them to repeat orders without doing so from scratch. “The system is designed to be user-friendly, and our team is always available to help if questions come up during the ordering process,” Greene said.

“If groups are planning events that request a custom menu, those requests should go directly to catering@etown.edu.” Although the main catering menu has not undergone any changes, Catering Services is now offering additional options under “Fly Away Jay.” It is intended to provide options for smaller, more informal events, such as meetings, rather than the full-scale catering otherwise offered. Fly Away Jay options include sandwich trays, dip platters and snack trays and are likewise ordered through CaterTrax with grab-and-go pick at the Jay’s Nest. Because Fly Away Jay is set up as grab-and-go, it is cheaper and does not require catering staff to be on call for the event. Catering Services hopes that this will streamline and expand their operations. “Fly Away Jay was designed to expand our catering options. As a grab-and-go option, it’s ideal for meetings, programs or events that don’t require full-service catering but still want a reliable food option,” Greene said. “It gives customers more flexibility while allowing us to meet demand efficiently.” Fly Away Jay is also available at shorter notice than other catering services. The ordering window for Fly Away Jay is five business days as opposed to ten business days for all other orders.

The full menus for Fly Away Jay and the rest of Catering Services’ offerings are currently available online for ordering along with a guide to help new users navigate CaterTrax.
